Guided setup takes about 20 minutes across six short steps. Your progress is saved as you go, so you can stop and come back at any time. Until setup is finished, the sidebar shows only Get started with a counter such as “2 of 6”.
Before you begin
Sign in at app.outreach.asia. Have these to hand:
- Your latest brochure, catalogue, price list or company profile, and your website address.
- The name, job title and phone number that should appear in the email signature.
- A real postal address for the email footer. Nothing can be sent without one.
- If you want to send from your own address: your mail server details and an app password.
Tell us about your business
Add a Website link, Upload files or Write a short brief. Any one is enough, but a short brief is recommended: it tells the AI who you sell to and what you want. Select Continue to step 2; reading usually takes one to two minutes. See Prepare your company documents.
Check what we learned
Review the facts pulled from your material. For each one choose Correct, Fix or Leave out. Where your files disagree, settle the difference at the top of the page. Fill in anything under Not in your files · optional that you know. Continuing saves your facts, suggests campaigns and prepares statements.
Approve what emails can say
Choose Approve or Don’t use for each statement. Approving at least three helps the AI write good emails. Statements that need proof or a document on file are decided one by one. This step is complete only when no statement is left unreviewed. See Statements: Approved, Needs proof and Blocked.
Pick your first campaigns
Say what you want to achieve, then choose from the campaigns suggested for it. Each one is one kind of company, one angle and one ask. You can pick up to three, but starting with one or two is usually wiser. You can also list anyone you should never contact, such as existing customers or competitors.
Write your first message
Decide which channel goes first (email, WhatsApp or both), give the AI its instructions, and set the tone, length, language, attachments and signature. The live preview, What a new lead receives, shows the result as you work. See Write your first message.
Choose how messages are sent
- Who sends the emails? Choose Communication21 sends for you (no IT setup) or Use your own mailbox. Scheduled sending through the agency mailbox starts once your account manager approves it.
- How should sending work? Send automatically on a schedule is off by default, which is recommended to start. With it off, you start each search yourself and drafts wait for you in Review drafts.
- Channels and alerts. Optionally link WhatsApp and Telegram. You do not need either to start; both are also in Settings.
- Check the summary under What happens when you finish, then select Finish setup and find my first leads.
After setup
The full sidebar opens: Home, Dashboard, Review drafts, Leads, Conversations, Sent and Campaigns, plus Company profile and Reports. Everything you set during setup stays editable in Company profile, Campaigns and Settings. To walk through the steps again, open Help & glossary and choose Redo the setup steps.
New drafts appear in Review drafts. Each first message waits 24 hours before it can send, so the earliest a first email can leave is the day after its draft is written.
