Outreach Asia works in three interface languages and can write to buyers in theirs. It also handles business contact data, which comes with responsibilities for you and for us. This article covers both, and how to ask for data to be deleted.
Change the interface language
The app is available in English, Bahasa Melayu and 简体中文 (Simplified Chinese).
- Open the Language picker in the top bar, or on the sign-in page.
- Choose a language. The setting is saved to your user, so it follows you on other devices.
This changes only what you see. It does not change your saved data or the language of messages to buyers. Telegram summaries follow the workspace language.
Choose the language of your emails
In Settings → First message, under How it sounds, set Language to English, Bahasa Melayu, 中文, Match each company (English, Bahasa Melayu or 中文), or No preference. To change a single draft, open it in Review drafts and use the Language menu under Ask the AI to change the email.
The reasons behind each lead can be read in English or Chinese with the Match reasoning toggle on Leads and Review drafts. Chinese versions are translated automatically and may show “Translation pending” for a few minutes.
What data is handled
- About prospects: company details from public listings and the company’s own website, a business contact address or number the company published, and your messages and their replies.
- About your company: the material you upload, your facts and statements, and your campaign settings.
- About your mailbox: sign-in details, stored encrypted and never shown again after saving.
Uploaded files never get a public link. Your signature logo is the exception: it is hosted publicly so recipients can see it. Old lead records are removed automatically after a retention period.
Your responsibilities
You remain responsible for your outreach. Keep your Never contact list current, only record WhatsApp permission you can show, and respond to data requests that reach you directly. Each market’s data-protection law gives people rights over their personal data. Malaysia’s PDPA 2010, Singapore’s PDPA, Indonesia’s PDP Law No. 27/2022, Thailand’s PDPA and the Philippines’ Data Privacy Act 2012 are the main ones.

Delete a person’s data
If someone asks for their data to be deleted, email wilson@communication21.com with the email address concerned. Deletion is carried out by the Outreach Asia team rather than from a screen in the app. It removes that address’s leads, pending research, sent messages, WhatsApp messages and conversations across every workspace.
The address itself is kept on the do-not-contact list, marked as an erasure request, so that it can never be found and contacted again. If you only need someone to stop hearing from you, that happens automatically when they opt out. See Bounces, opt-outs and the do-not-contact list.
Close your workspace
To close your workspace or have your company’s material and records deleted, email wilson@communication21.com from the address you use to sign in. Tell us whether you want everything deleted or want an export first. Export CSV on Leads and Download PDF on Reports let you keep a copy before you ask.
