The first email should start a useful conversation. It does not need to explain the entire company. Give the recipient enough context to decide whether the request belongs with them.
Use a specific, honest subject.
Describe the topic rather than implying a prior relationship or a confirmed opportunity. “Additional solar module suppliers” is clearer than a vague announcement. Keep the opening grounded in a business fact you can verify, without pretending you know the recipient’s priorities.
Make the offer understandable without an attachment.
Summarise the relevant product or service in one sentence. If a technical document is useful, offer it or include only approved material that directly supports the conversation. Do not rely on a presentation to explain why the recipient should care.
Ask a question that can be answered briefly.
A supplier-fit question is often more useful than immediately asking for a lengthy meeting. Let the recipient indicate relevance or refer you to the right team. Include a clear sender identity and respect requests to stop. This structure is a writing aid, not a guarantee of a response or inbox placement.
IN PRACTICE
Reduce the work needed to reply.
We are a leading global company. Please review our attached presentation and book a 45-minute meeting.
We make an N-type module range and are exploring Malaysian distribution fit. Do you review additional module suppliers?
A narrow question allows the recipient to indicate relevance without doing a full product review. Share more detail once the request is clear.
| Email element | Common repair |
|---|---|
| Generic praise | Replace with a verified business fact. |
| Several requests | Choose the smallest useful next step. |
| Attachment-dependent offer | Explain the relevant offer in the email itself. |
Read the draft aloud and remove any sentence that does not explain identity, relevance, the offer or the next question. Then ask someone outside the project what they think the recipient is being asked to do.
