Fix contradictions and missing facts

What to do when your files disagree with each other, or when your material simply doesn’t say something the AI team needs.

Real company material is rarely perfectly consistent. A brochure from two years ago says one capacity; this year’s catalogue says another. Outreach Asia would rather ask you than guess. This article shows how to settle disagreements and fill gaps.

Why contradictions appear

The AI reads all your material together, so it notices when two sources say different things. Common causes are:

  • An old and a new version of the same brochure or price list.
  • A website that has not been updated since a product change.
  • Different figures for different product lines that look like the same fact.
  • A distributor’s deck that describes you differently from your own profile.

Settle disagreements in setup

In step 2, Check what we learned, disagreements appear at the top under Settle these first: your files disagree. Each one shows both versions and asks Which should we use?

  1. Use my wording. Type What’s right and select Save. Use this when neither file is quite correct.
  2. Both are right. Use this when the two sources describe different things, such as two product lines.
  3. Leave it out of emails. Use this when you are not sure, or when the point is not worth making.

Settled items show a Settled label. To change your answer, select the chosen option again to clear it. Open disagreements do not stop you from continuing, but it is worth settling them first.

IMPORTANT

Settling a disagreement records your answer; it does not edit any statement. Emails only use statements you approve in step 3, so check any statement that mentions the same point, and choose Don’t use if it carries the wrong version.

Fix the source when you can

After setup, Company profile → Facts lists how many things in your material disagree with each other. The lasting fix is usually at the source:

  1. Remove the out-of-date file in Company profile → Material.
  2. Upload the current version, if you have not already.
  3. Select Re-read my material. Your earlier corrections are kept.
  4. Or correct the fact directly with Fix it on the Facts tab.

Fill in missing facts

Some facts are simply not in your files: who signs the emails, for example, or what success looks like for this outreach. The app leaves these blank rather than inventing an answer.

  • In setup, they appear under Not in your files · optional. Type what you know; each field saves when you move out of it.
  • On the Facts tab they are marked Not in your material. Select Type it in. Once filled, the label changes to You added this.

If no facts could be read at all, usually because every file was an image-only scan, the app asks you to fill in what you know or add more material in step 1.

What to prioritise

You do not need a perfect profile to start. Focus on the facts that appear in every email:

  • What you sell and who you sell to: these shape campaigns and research.
  • Who signs the emails and the sending address: these shape the introduction and signature.
  • Based in: buyers want to know where a new supplier is.

Everything else can be filled in as you go. The Facts tab shows a count of facts still to check, so you can return to them when you have a few minutes.
