A follow-up is one more short email to a company that has not replied, sent a set number of days after the last one. Follow-ups are off until you turn them on, and they only go out after an inbox check confirms there is no reply.
Turn follow-ups on
- Open Settings → Automation and find Follow-ups and replies.
- Switch on Send a follow-up if there’s no reply.
- Choose the Wait: 1, 2, 3, 4, 5, 7, 10, 14, 21, 30, 45, 60 or 90 days.
- Choose Up to: between one and five follow-ups.
- Select Save follow-up settings.
The default is one follow-up after 2 days. The wait is counted from the last email to each company. Switching follow-ups on also includes eligible emails sent earlier.
What follow-ups need
Follow-ups only go out when all three of these are true:
- Automatic sending is on.
- Email outreach is on in Settings → Channels.
- The inbox connection is working. The last successful inbox check must be recent, and the inbox is checked again just before each send, so a reply that arrived a few minutes ago still stops the follow-up.
If the inbox is not working, the settings show Needs your inbox connection working first. with a Fix inbox link. Follow-ups also count towards your daily sending limits.
Follow-ups are reviewed too
A follow-up is written when it becomes due, then waits its own 24 hours in Review drafts as a follow-up email. You can read, edit or skip it exactly like a first message. If you have turned on Ask me to approve each new message, it needs your approval as well.
Because of the review, a follow-up set to “2 days” usually goes out about three days after the previous email. If your plan also includes WhatsApp, the follow-up waits for the planned second channel first.
What a follow-up looks like
- Under 100 words, in the same email thread (“Re: …”).
- Written from your approved statements and your writing brief, and checked like any other draft.
- No attachments.
A useful follow-up adds one new reason to reply, such as a relevant product or a simpler question, rather than repeating the first email.
Good practice
- One or two is usually enough. More than that rarely changes the answer and increases the chance of an opt-out.
- Leave a few days. A wait of 3 to 7 days respects a busy inbox; very short waits can feel pushy.
- Use the brief. Add a line under Anything else? in your first message settings, such as “In a follow-up, offer the product sheet instead of repeating the introduction.”
What stops a follow-up
A follow-up is not sent when any of these apply:
- The company has replied, on any channel.
- They opted out, or the address bounced or has not been verified.
- The campaign is paused, or the company no longer meets its required criteria.
- You skipped the company or switched its email off.
- All planned follow-ups have been sent.
- The daily limit has been reached (it waits for the next day).
Track follow-ups
Conversations → Waiting for a reply lists everyone who has not answered, with the follow-up state for each: Due now, a date, Done, Held or Off. In Sent, follow-ups are labelled Follow-up so you can tell them apart from first emails.
