Reports and what the numbers mean

How to read the Dashboard, Reports and Sent pages, what counts as sent, accepted, a reply or interested, and why opens are never reported.

Outreach Asia counts conservatively. A number is only shown when the app can stand behind it, and figures that count companies are never mixed with figures that count messages. This article explains where to find each number and exactly what it means.

Where to look

  • Home: a quick “So far” summary and what needs you today.
  • Dashboard: trends over Today, Last 7 days, Last 14 days or All time, filtered by campaign and channel.
  • Reports: a weekly or monthly summary to share: This week, Last week or This month.
  • Sent: every message and its status.

What each number means

Days are sending days that run from 08:00 to 08:00 Malaysia time.

Accepted is not delivered, and there are no opens

“Accepted” means the sending server or WhatsApp provider took the message without a bounce. It does not confirm the message reached an inbox or that anyone read it. For WhatsApp, “Delivered” means WhatsApp confirmed it reached the phone.

Outreach Asia does not track email opens. Open tracking relies on hidden images that many mail systems block or load automatically, so the figures are unreliable, and tracking pixels can hurt deliverability. Replies are the measure that matters.

Dashboard panels

  • From found to meeting: the funnel from Found, Kept for outreach, Contacted, Replied and Interested to Meeting booked. The biggest drop shows where to focus.
  • By campaign and channel: reply rates side by side, so you can compare angles and email with WhatsApp.
  • Sending health: bounce rate (under 2% healthy, 5% or more too high), unsubscribes, warm-up, today’s sends and the inbox connection.

Statuses on the Sent page

Each email in Sent shows a status (Accepted, Bounced, Replied, Not sent, Not sent yet or Test send) and a type: First email, Follow-up, Automatic answer or Answer to their reply. The tiles at the top show today’s totals and how much of the daily limit is left.

Reading small numbers honestly

Early results are small, so treat them with care. Across our first 94 first emails in five client workspaces, 7 companies replied (7.4%) and 4 were interested, asking for a catalogue, a company profile, a vendor registration or a partnership discussion. With numbers this size, one reply more or less moves the rate a lot. Look at what replies say, not only how many there are.

Share and export

  1. On Reports, choose a period and select Download PDF. This opens your browser’s print dialog, where you can save it as a PDF.
  2. On Leads, apply any filters and select Export CSV for a spreadsheet of companies, campaigns, status and score.
  3. Market entry and claims audit → Open audit gives a record of what was said and on what evidence.
