What Outreach Asia does

An overview of the service: who it is for, what the AI team does each day, and what always stays under your control.

Outreach Asia is an AI-assisted outreach service for companies expanding into South-East Asia. It researches real companies in the markets you choose, writes a first message in the buyer’s language, and follows the replies until a person on your side takes over the conversation.

Who it is for

The service is built for business-to-business sellers entering a new ASEAN market: manufacturers and suppliers (including exporters based in China), Malaysian B2B companies looking for buyers or partners, and technology and service businesses looking for distributors or software partners. It is operated by Industry Connect · Communication21 in Kuala Lumpur, and every workspace has a Communication21 account manager behind it.

Outreach Asia currently serves five markets: Malaysia, Singapore, Indonesia, Thailand and the Philippines. Vietnam is not served; Choose your markets explains why.

What the AI team does

Once your workspace is set up, the work runs as a daily cycle. Each stage is visible in the app, and you can see why each decision was made.

  1. Learns your business. It reads the brochures, catalogues, price lists and website you provide, pulls out facts, and flags anything that contradicts itself.
  2. Agrees what it may say. Every factual sentence an email could use becomes a statement that you approve. Emails can only use approved statements.
  3. Finds companies. For each campaign it searches business listings, map data, directories and exhibitor lists, then reads each company’s own website to check fit.
  4. Scores and explains. Each company gets a match score, a band (Priority, Contactable or Below) and a short written reason: why this one.
  5. Writes a first message. Drafts use your tone, greeting, signature and approved attachments, and are written in the buyer’s language where that helps.
  6. Waits for you. Every first message waits 24 hours in Review drafts so you can read, edit, switch channel or skip it.
  7. Sends carefully. Sending respects daily limits, mailbox warm-up, country rules and a shared do-not-contact list.
  8. Follows the replies. Your inbox is read automatically, replies are sorted, and an answer is suggested from your approved statements. Anything unclear waits for you, and a person on your side takes over when a buyer is interested.

What you stay in control of

The AI team does the repetitive work; the decisions stay with you.

  • What is said. Only statements you have approved can appear in an email. A checker holds back any draft that states or implies something else.
  • Who is contacted. You can skip any company before its first message leaves, and anyone who opts out is never contacted again.
  • When sending starts. Automatic sending stays off until you switch it on, and even then every first message still waits out its 24-hour review.
  • How it is sent. Through the Communication21 agency mailbox or your own mailbox, and on WhatsApp where that is appropriate.

What it does not do

Some limits are deliberate, and they are part of how the service keeps your reputation safe.

  • It does not invent facts about your business. If a claim is not in your material and approved, it is not used.
  • It does not guess personal email addresses. Email addresses come from the company’s own website, usually a published business inbox.
  • It does not treat a mobile number from a map listing as permission to send a WhatsApp message.
  • It does not report opens or reads. “Accepted” means a mail server or WhatsApp provider took the message, nothing more.
  • It cannot promise replies, meetings or inbox placement. In our first 94 first emails across five client workspaces, 7 companies replied and 4 were interested. That is a small sample, so treat it as an early indication rather than a benchmark.

Where to start

When you first sign in at app.outreach.asia, the sidebar shows Get started and a counter of the six setup steps. The other pages (Review drafts, Leads, Conversations, Sent and Campaigns) are shown locked until setup is finished, so you never land on an empty screen. The whole setup takes about 20 minutes, and your progress is saved as you go.

TIP

Gather your latest brochure, catalogue or price list before you begin. The more complete your material, the more statements the AI can use, and the fewer gaps you will need to fill by hand.
